Telephone Answering Services

With our trained full time receptionists we are able to offer a telephone answering service to small businesses that are unable to handle telephone calls during working hours.

We will be your receptionist for when:

Your office is unattended.
You need to work undisturbed.
Your lines are engaged.
During busy times when not enough staff are available to answer all incoming calls.

We can be an extra pair of hands when needed at a fixed monthly fee.

Calls are diverted to our answering service by entering simple codes in to your business telephone or mobile.

Calls are answered in your business name or style and callers will assume they are talking to a member of your staff.

Calls would be handled as you instruct. These instructions can change as often as required and could be for example: 

Thank you for calling ABC Plumbers, how can I help you?

I’m sorry Mr Smith is not available at the moment can I

Take a message?
Arrange for him to call you back?
Give you his mobile number so you could contact him now?
Transfer you to him now?
Leave a message in his voice-mail box?

Subject to your requirements, we would then inform you that someone has called by:

Ringing a mobile number
Relaying a message by Text
Relaying a message by e-mail
Relaying a message by Fax
Leaving details on a remote accessible mail-box

We aim to be an ‘Extension’ to your business.

Whilst dealing with calls our team will be presented with the information necessary to allow them to answer caller's basic questions, as a well-prepared receptionist would be able to.

Callers will either ask for "somebody" or "something". We ask to be provided with a list of your staff names with their job titles and each person can have personalised instructions for us to follow.

We can set up specific instructions for "something" call types such as "New Business Enquiries", "Customer Service" etc.

HOW DOES IT WORK

Before we take calls we will discuss with you how each call will be handled, what type of calls will be expected and a list of staff that may be asked for.

A unique number will be issued so you can divert calls to us on any of following conditions:

Divert all calls
Divert on Busy
Divert on no reply

On receipt of an incoming call our computer system will display the name your business together with how the call is to be handled.

All calls are answered in your organisation’s name and the operators follow the agreed instructions to answer the calls.

Messages will be relayed either:
Immediately after each call
At the end of the day
At any agreed time

Each business will have a personalised voice mail-box to take calls out of normal hours. Businesses will be able to remotely access the password protected mail-box or our operators will deal with messages on the next working day.

Various call plans are available subject to your requirements. We do not 'hide' costs and provide a fixed monthly fee that we guarantee will not change no matter how many calls we handle

How do I divert calls to you?

We are Telecommunications experts and will advise the best way of diverting calls subject to your types of lines, telephone system and line services available. Usually it is just a matter of entering a code to divert and a further code to divert the cancellation

Yes, you would divert calls in the same way to your unique number

Are you a call centre?

No - a call centre employs hundreds of people who take calls for thousands of businesses. The people in call centres taking your call may not even be in this country! This virtually guarantees your client an ‘impersonal’ answer when they phone you.

We on the other hand will always allocate your calls to a small team of trained, friendly, well-spoken operators. This means your regular callers will get to know our operators – and vice versa. This creates a warm reception for your clients and the impression that our operators are part of your team.

Are your prices higher than some other similar services?

No, we give clear detailed prices - watch out for all the hidden extras in other companies' pricing packages! It’s a little like the mobile phone companies that offer you an incredibly low monthly line rental, then charge heavily every time someone calls, leaves a message or even to retrieve your messages!

How often can I divert calls?

You can divert calls to us as often or as little as you like. An operator will answer calls during working hours (9am to 5pm) or by a personalised voice-mail outside these hours.

What if I forget to un-divert calls

Each business will have a personalised voice mail-box to take calls out of normal hours. Our operators will then deal with messages on the next working day.

How many calls can be diverted

Unlimited calls can be diverted at the fixed cost. Calls can be diverted during long-term absence such as holidays.

What does the service cost me?

A fixed monthly fee is paid for the basic service. This monthly fee is fixed irrespective of the number of calls received.
Each call that is diverted from your normal business line to the answering service will be charged as a normal call on your business telephone bill
Relayed messages are charged on a per message basis subject to costs incurred
Fully itemised account activity would be provided each month

We can supply businesses with unlimited e-mail addresses with forwarding of messages by numerous methods as per our answering service

Dealing with responses to advertisements
We can take messages direct to your unique number during advertising campaigns or job advertising. Further we can supply temporary 08xx numbers for specific campaigns with monitoring of response for later analysis.

Letter writing and printing
Dictation and printing of letters with letterhead design if required

Payroll processing
Weekly or monthly processing of company payroll including pay slip production. Including P45 and year end processing.
